Your dog's vaccine record is a document from your veterinarian that lists each vaccine, the date given and the date it is due or expires. Ask the clinic for a copy, photograph every page, and file it where you can find it in under a minute.

Where do I get my dog's vaccine records?

Start with the clinic that gave the vaccines. Most clinics can print the record, email a PDF or give you a portal login. If you moved or switched vets, ask the old clinic to send the history to the new one, or request a copy yourself.

Shelters and breeders usually hand over the first records with the dog. Keep that paper even if you later get a fresh printout, since it shows the earliest doses.

What should a record list?

A useful record is specific. Check that yours shows each item below, and ask the clinic to add what is missing.

Which vaccines does my dog need?

How do I keep a copy on my phone?

A photo of the vaccine page beats a paper copy you left in a drawer. Photograph every page flat, in good light, with the dates readable. Then file it somewhere you can search.

  1. Photograph each page of the record, flat and in daylight.
  2. Crop out the table edge and check that the dates are readable.
  3. File each photo by vaccine type with the date given and the valid-until date.
  4. Add a reminder for the next due date your vet gave you.
  5. Re-photograph the record after every visit.

How does Okaypup handle records?

How do I share records with a sitter or daycare?

What do daycares and boarding places actually check?

Each facility sets its own rules, so ask before you book. In general they look for the vaccine name, the date given, the expiry or next-due date and the issuing clinic. A record with a missing or unreadable expiry date is the usual reason a booking gets delayed.

Ask how far ahead they need the paperwork and in what format. Some want an email attachment, others a photo uploaded to a portal. Having a clean PDF ready turns a day of back-and-forth into a minute.

How long does a record stay valid?

The valid-until date printed on the record is the one that counts, and it comes from your vet and the product used. It differs by vaccine and sometimes by local law, so do not guess from a general rule you read online.

Enter that date when you file the record and add a reminder a few weeks before it. That gives you time to book an appointment instead of finding out at the daycare door.

What if the record has a mistake?

Typos happen: a wrong date, a misspelled name, a missing microchip number. Ask the clinic to correct it and reissue the page. Do not edit a record yourself, because a changed document can be refused or cause bigger problems later.

If you already photographed the old version, delete it from your wallet and replace it so you never send the wrong one.

What about travel and pet passports?

Moving a dog across borders adds rules on top of ordinary vaccine records: specific vaccines, waiting periods, microchip standards and official forms. Wikipedia describes the idea of the pet passport, but the rules for your route are set by the countries involved.

Check the current requirements with your veterinarian and the authorities of your destination well before the trip. Keep the originals with you and a photo copy on your phone.

Paper copy or phone copy?

Keep both. Paper survives a dead battery and an airport counter. The phone copy is what you can send to a sitter at nine in the evening. Store the paper original in one fixed place, such as a folder with the microchip paper and the insurance policy, and tell everyone in the house where it is.

What should I do before boarding or travel?

Check the paperwork two weeks ahead. Confirm what the facility needs, compare it with your record and book a vet visit if a date is close to expiring. If you travel by air or across borders, ask the airline and the destination what they require, since rules change.

Keep a printed copy in your bag and a photo on your phone. If a document is in a language the destination does not use, ask your vet about an official translation.

How do I keep records from different dogs apart?

Name each file clearly with the dog's name, the vaccine and the date. If you use paper, use one folder per dog with a cover sheet that lists the dog's name, birthday and microchip number.

Do I need a vaccine record template?

Searches for a dog vaccine record template are common, and a template is fine for tracking what you were told. It does not replace the clinic's own record, which carries the signature or stamp a daycare asks for. Use a template or an app to keep your copy tidy, and keep the clinic's page as the proof.

What do the Valid and Expires soon labels mean?

In Okaypup each record shows a status based on the valid-until date you entered. It reads Valid, Expires soon or Expired. The app does not know your vaccine schedule, it only compares the date you typed with today. So the label is only as good as the date you copied from the record.

How does the microchip fit in?

A microchip is a small implant under the skin that carries an identification number, as the Wikipedia article on the animal microchip implant describes. Your clinic or the registry can tell you where the number is registered. Write it on the record and in your dog's profile so paperwork from a vet, a daycare and an insurer all use the same number.

What should I do the week before a booking?

Open the record, check the valid-until date against the booking date and send the file at least a few days early. If the date is too close, book the vet visit first so the clinic can issue an updated page. Facilities rarely make exceptions at the door.
